Alumni Affairs Manager Temp to Perm – Posted 4/15/18

Best Choice Staffing is working with a great University on their need for a Manager to run their alumni events. The position is recently vacated and they are looking for a temporary solution while they look to identify a permanent person. This could develop into a temp to perm situation.

The Alumni Affairs Manager coordinates and implements alumni engagement to broaden participation and giving in coordination with the Deputy Director of Alumni Affairs and Development and the Vice President of Alumni Affairs and Development.

The client is looking for someone to play a major role for their event in June.

The tasks for this person would be tasked to handle the following:

• Initiate, plan and implement alumni engagement activities and events, locally and nationally, including reunion.
• Manage a comprehensive range of annual events and activities that advance the mission of the school and keep alumni connected.
• Facilitate the work of volunteer alumni involved in the event planning process (i.e., committee chairs, class leaders) to reach appropriate goals.
• Support student group’s leadership by liaising between the Office of Alumni Affairs and Development regarding mailings, messaging, events, meetings and other activities.
• Manage events as needed related to Alumni Affairs work be it for affinity groups, student groups, and other initiatives engaging key constituencies.
• Support engagement and fundraising growth from alumni by directly participating in phone, email and in-person cultivation and solicitation.
• Manage other alumni affairs work as instructed by the Deputy Director and Vice President of Alumni Affairs and Development.
• Plan and manage event budgets to ensure responsible use of funds.
• Document, analyze, track and report the outcome of each event.
• Manage and enhance the Class and Regional volunteer program.
• Collaborate with Admissions, Career Services, and the Schools, as requested, to implement volunteer opportunities for alumni and networking opportunities between alumni and current students.
• Foster relationships with current students through the Student Ambassadors and other student leaders, and engage the Senior Class with the Alumni Association.
• Hire and supervise part-time student workers.
• Participate in other departmental initiatives as required.

• Experience managing alumni programs including experience managing alumni volunteers and reunion programming.
• Possess excellent written, verbal, organizational and interpersonal skills.
• Ability to prioritize and effectively manage multiple projects.
• Ability to be detail-oriented with high accuracy.
• Knowledge of social media and online community management preferred.

We are working with many nonprofits on their need to identify appropriate Development Assistant and Associate level staff.

These positions would be temporary (full time) that could lead to permanent. The clients are looking for individuals who have donor database experience, Raiser’s Edge, E-tapestry, Salesforce, just to name a few.

These positions will pay on an hourly basis around $18-22 an hour and the perm salaries would be between $40-55k. It depends on the client but that is the range based on experience.

DATABASE MANAGER- Temp to Perm (25 hourly as temp)

We are working with a great school on their need for a database person. The role needs someone who has reports and queries experience, along with general gift entry and acknowledgement letters.

The client needs someone to start on a temporary basis (full time hours) and if the person proves to be the right fit for the role they will be offered a perm job at the school.

The Database Coordinator is responsible for overseeing the Development Office Raiser’s Edge database. They are exceedingly detailed-oriented and meticulous in providing clean and accurate data reports. They are charged with accurately processing and acknowledging all gifts and supporting the Development team’s data importing, exporting and reporting needs. They will ensure that records are well-maintained and up-to-date, and will collaborate with Development program managers and directors to identify ways that they can most effectively use the database to support their roles.


Manage information contained in the donor database. Document best practices and create rules for data entry. Educate the Development team and other staff on Raiser’s Edge and other fundraising applications.
Collaborate with the Development Associate on gift processing. Ensure that donors are acknowledged using timely, effective, and consistent methods.
Support managers and directors of various Development Office programs (Annual Fund, Alumni Relations, Major Gifts and Special Events) to provide accurate and properly formatted data reports, analyze data, and manage event data.
Ensure that pledges are accurately recorded. Send out timely pledge payment reminder letters and emails.
Create new records, record constituent Actions, and enter Prospect briefings and research.
Assist with the production of the Annual Giving Report.
During Benefit season, support the Special Events Team by managing online event sales and processing all monetary gifts to the event, including but not limited to Corporate Sponsorships, Tickets, Underwriting and Auction purchases. Oversee the Benefit database, migrate the data to Raisers Edge and produce weekly reports for the Associate Director of Development during the Benefit season.
Create and maintain school’s Giving and Benefit webpages in Greater Giving
Perform periodic maintenance to ensure that data is up-to-date, accurate and de-duplicated.
Create mailing and emailing lists for all programmatic needs.
Extract data for cultivation, stewardship, solicitation campaigns and events.
Develop accurate reconciliation procedures with Finance Department and create required reports in a timely fashion.
Work with other departments to ensure coordination with all school-wide database activities.
